PROGRAM COORDINATOR

Status: One-year full time contract

We are seeking a motivated and experienced Program Coordinator to work with the Export Navigator Program office. The Export Navigator Program offers businesses access to community-based export specialists who can provide a personalized, step-by-step approach to exporting and help connect businesses to the market information, export programs, financial services, and business development experts it needs at every stage of the process.

The Program Coordinator serves as the information ‘hub’ for the Export Navigator program; playing a key role in liaising with Export Advisors and promoting the program through various channels. This position provides support to the Program Manager, Project Analyst, community-based Export Advisors, and other project stakeholders.

JOB SPECIFICS

  • Assist with quarterly and final project report compilation;
    • Input, export and manipulate data from a variety of data collection and reporting systems
    • Ensure timely collection of data from the Export Advisors across the province
    • Ensure quality and data integrity is maintained across various sources
  • Analyze operational data and drafting report commentary in a concise manner
  • Provide ongoing information and services support to Export Advisors during normal business hours
  • Promote Export Navigator by participating in selected outreach activities
    • Update and maintain an outreach calendar for the program
    • Research and coordinate outreach opportunities
  • Provide operational and marketing support to the Strategic Projects team
    • Manage the revision, production and distribution of all program marketing materials (brochures, workbooks, e-communications)
    • Order, ship and track inventory of collateral and resource catalogues for special projects
    • Draft and distribute newsletters with the latest export-related news and events
    • Conduct progress update interview calls with clients, and record and compile results
    • Maintain and update client and stakeholder contact lists
    • Maintain electronic and physical filing systems
  • Schedule project meetings for internal staff and external stakeholders, as needed;
    • Coordinate meeting and small event logistics such as set up, catering, technology testing and materials preparation
    • Coordinate and schedule travel itineraries
    • Book, record and track travel expenses for the program team
    • Record and edit meeting minutes for distribution to stakeholders
  • Coordinate the development and marketing of export-related educational seminars
    • Schedule seminars with the SBBC education team
    • Help determine topics based on demand and relevance
    • Liaise with guest speakers
    • Develop and distribute marketing materials related to the seminars
  • Perform other job-related duties as required

QUALIFICATIONS

  • A degree or diploma in Business Management, International Business, Small Business and Entrepreneurship, or Commerce, or an equivalent blend of education and business-related experience
  • Minimum 2 years’ experience in business administration, and project coordination
  • Experience with working in an office environment, coordinating schedules and appointments and managing confidential material and information with discretion
  • Experience with data collection and report writing
  • Experience with, or knowledge of, international trade subjects is an asset
  • Experience with stakeholder engagement and government relations is an asset
  • Experience with developing marketing & communications materials (writing, coordinating production)
  • Excellent communication skills (in-person, email, telephone)
  • Detail-oriented
  • Strong computer skills in MS Office, Sharepoint, Outlook, CRM. Must have exceptional MS Excel skills
  • Proficiency with Adobe InDesign is considered an asset
  • Ability to work effectively in a fast-paced environment with multiple priorities and deadlines

WHAT WE CAN OFFER YOU

  • BCGEU Level: Range 14, step 1 $1870.95 bi-weekly (non-negotiable); Small Business BC is not a government department; however, this position is a part of the BC Government Employees Union.
  • Paid ‘Flex Days’ every three weeks
  • Additional seventy-four cents per hours in lieu of benefits after 3 months continuous employment
